How to Book a Thames Valley District School Board (TVDSB) Facility:
- Before Submitting an application, please read and comply with our rental Terms and Conditions. Please view our Group Classifications and Fee Schedule for information, rental rates and discounts.
- To submit an application, you must register online. Current users must log-in with their username and password to submit any new requests. LOG IN here to get started and view the introduction video if you require assistance.
- In general the school space available for rentals are gyms, cafeterias (secondary), libraries, resource rooms, some classrooms and sports fields. Please indicate the type of space you are looking for on your application and refer to the Fee Schedule for rates.
- Generally space can be rented on operating school days Monday-Friday from 6:00 PM to 10:00 PM, some exceptions apply. Saturdays and Sundays may be available, on the condition that custodial coverage can be arranged. Please indicate on your application the dates and times you are requesting. Block bookings will be denied.
- A minimum of 15 working days is required to process single date rental request.

Applications for seasonal indoor bookings (September to June) should be submitted by April 30th for the subsequent school year to be given first consideration. Our office will confirm availability and details of rental requirements in the summer months. You will get email confirmation and have the ability to view your application status on your online portal. All spring and summer requests, should be submitted by March 1st for the following soccer, baseball and summer camp season.
- Applicants must provide proof of general liability insurance of $2-million naming the TVDSB as an Additional Insured. It is possible to purchase insurance through the TVDSB.
- Please note that the TVDSB Community Use of Facilities policy states schools have priority over rentals and can override any existing permits. In such circumstances, the Community Use of Facilities Department will strive to find a suitable alternate date or issue a refund if applicable. Please consider this clause, before submitting an application.
- Please consider your times and dates carefully, as no refunds will be provided for cancellations (unless displaced by TVDSB). Contract revisions, cancellations and “No Shows” are subject to a $25.00 fee per occurrence. Please read our Refund and Cancellation Procedure.
