Board Committees

Trustees meet in full session monthly throughout the school year at the Education Centre, 1250 Dundas Street in London for the regular Board meetings.

Agendas for these meetings are posted to the Board’s website by 4:00 p.m. on the Friday prior to the meeting. Reports and supporting material are posted by 4:00 p.m. on the Monday prior to the Tuesday meeting. Board meeting minutes are posted following their approval at the next Board meeting. 

Recommendations approved by the Board are also separated out for the viewer’s convenience and information. (See Board Room/Agendas, Minutes)

Information Committee of the Whole
The Information Committee of the Whole meeting is an information sharing session in which the Board hears presentations from staff related to a variety of programs and operations offered throughout the system.

No motions may be brought to the Information Committee of the Whole for consideration or may any action be taken regarding the presentations at that time.

The Committee meets two to three times per year as required to hear presentations on such topics as EQAO scores, the Budget and Our Vision at 7:00 p.m. in the Board Room of the Education Centre.

The Chair and Vice-Chair are elected on the first Tuesday in December, annually.

Board Meetings
At its regular monthly meetings, the Board considers recommendations referred for approval by the Chairs’ Committee, and the Special Education Advisory Committee. Meetings are opened with a student band or choir leading in O Canada followed by two or three musical numbers. Special recognitions of students, staff or community members are also an important part of the Board Meeting agenda.

Regular meetings of the Thames Valley District School Board are held on the second and fourth Tuesday of each month (except during July and August) starting at 7:00 p.m.

Election of the Chair and Vice-Chair of the Board is held on the first Tuesday in December for the following year. 

In-camera sessions
Although meetings of the Information Committee of the Whole and Regular Board are open to the public, in-camera sessions may be scheduled. In-camera meetings are closed to all but the Trustees, Supervisory Officers, the Supervisor - Corporate Services, and those invited by the Chair of the Board to speak to an issue under consideration. The student trustees may attend but are excused from any discussions related to "Personal" items on the agenda.

The Board meets in-camera when the matter for discussion is related to confidential legal, negotiations, property or personal matters in accordance with the Education Act. This includes issues such as collective bargaining, student discipline and contract matters. Discussions held in-camera are confidential and are not recorded in the public minutes. However, motions must be approved by the Board in open session.
